SmartShyp is a Utah-based software company that has experienced tremendous growth in the past year. We help hundreds of customers who sell online using Amazon, eBay, Volusion, BigCommerce, Shopify, Etsy, Jane.com and many other online marketplaces. Our web-based shipping application streamlines the order fulfillment process for anyone selling online.

About the Role

SmartShyp is looking for an upbeat individual who can support members of our executive team. We are looking for someone who is a self-starter, organized, inventive and efficient. Being flexible and having a sense of humor while maintaining a high level of integrity and confidentiality is crucial to this role. You will have the intuition to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently, and be comfortable to make decisions with minimal oversight or mentorship.

Responsibilities

  • Maintain company organization charts and the employee directory.
  • Supervise the maintenance of office equipment, food, etc.
  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
  • Partner with Recruiting, Employee Experience, and People teams to create an elite new hire/current employee experience and work culture.
  • Facilitate all ordering for all workspace supplies.
  • Managed ordering and delivery schedules for all office materials.
  • Negotiate contracts with vendors for all company-wide lunches and office-provided food and drink.
  • Responsible for greeting visitors
  • Reports directly to the CEO
  • Provide direct administrative assistance for three executives.
  • Answering telephones, arranging for meetings and travel, and managing schedules
  • Submit monthly expenses
  • Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs.

Qualifications

  • Experience building and managing a budget
  • Working knowledge of office processes
  • Proficient in Microsoft and Google suites
  • Strong, genuine affinity for our mission, vision and values.
  • A compelling vision for how positive, high-performing teams and cultures are built, and demonstrated success implementing such a vision.
  • Bachelor's degree is required
  • Past Executive Assistant experience is preferred
  • Written and verbal problem-solving skills
  • Organization skills: the ability to stay on top of multiple tasks and complete in a timely manner
  • Consistently deliver high-quality professional customer service to internal and external customers with the ability to be personable and happy to help in a variety of situations
  • Visionary spirit: ability to take the initiative, work independently and accomplish tasks
  • Adaptive: tackle new tasks with little notice or instruction
  • Integrity and discretion in handling confidential information
